your role and responsibilities
As an Executive Assistant, you will occupy a key role as the central focal point, setting the direction for management's administration and creating structure. Working within a dynamic team of executives, you will act as the primary point of contact for both internal and external stakeholders globally.
In this position, execution and discretion are priority areas and are seen as a crucial discipline where high quality is paramount. This means your day-to-day work will offer significant professional variety through a wide range of administrative and coordination tasks. In this role, you will act as a gatekeeper, create clarity, and ensure smooth daily operations for the executive management team
Your most important task is to ensure that executive management's visions are effectively supported. You will do this by:
• Managing and prioritizing the CEO's calendar according to the annual business wheel, with a focus on allocating time for strategic meetings and urgent matters
• Acting as the primary liaison and local ambassador, ensuring seamless communication between the executive management, and all internal and external stakeholders
• Planning and organizing meetings, gathering input, and managing logistics
• Handling global travel logistics for the executive team, including flights, hotels, transportation, visa applications, and travel expense reports

To succeed in this role, it is crucial that you can maintain oversight and act as a trusted partner to the executive management team. Your success will be measured by the CEO always being well-prepared, meetings being flawlessly organized, and your ability to intuitively anticipate needs before executive management asks. Therefore, you must be able to communicate clearly, exhibit exceptional discretion with confidential information, and handle stakeholders at all levels. You thrive in a dynamic, international environment and remain resilient and calm even when deadlines approach and pressure rises.

• A minimum of 5–10 years of documented, successful experience as a PA/EA supporting C-level management
• A relevant educational background, such as a BA in Business Administration, or equivalent solid experience
• Excellent communication skills, fluent proficiency in English (written and spoken), and strong IT and MS Office capabilities
• Experience navigating complex global travel logistics and an understanding of cross-cultural differences
• A proactive, highly service-minded, and independent approach with a strong "can-do" attitude
